JOB SUMMARY Strategically guides and manages the financial operations department to ensure accurate and timely completion of transaction based processes in support of the financial reporting department. Implements policies and procedures and ensures compliance with internal and external transaction-based requirements. ESSENTIAL DUTIES AND RESPONSIBILITIES Monitors overall financial operations department procedures and processes to ensure accurate and timely completion of transactions in accordance with client driven requirements and internal policies and procedures. Resolves escalated issues, as SPOC (single point of contact) for the financial reporting teams, and ensures internal customer requests are handled timely, accurately and with a focus on customer service. Creates a positive customer experience by opening and maintaining constructive and reliable lines of communication. Develops and analyzes KPIs (Key Performance Indicators) for financial operations team to ensure team metrics are being met. Reports to senior leadership on the effectiveness of the metrics and provides recommendations for changes. Serves as the financial operations expert to the senior leadership team. Establishes performance objectives for department staff and monitors and reports on accomplishments. Serves as the financial operations liaison with department leadership. Ensures leadership is informed of all financial operations activities and presents metrics and analysis on status of team. Manages national initiatives and provides direction, guidance and coaching to ensure project success and completion. Recommends and implements strategic financial operations practices. Formulates and administers approved policies and practices throughout the department and ensures reliable information is provided to key decision makers. Ensures systems and procedures are in compliance with company policies, acceptable accounting practices, and applicable regulations. Provides advice to external clients on requested services and how department internal controls may impact the request. Performs other duties as assigned. SUPERVISORY RESPONSIBILITIES Manages the planning, organization, and controls for a major functional area or department. May be responsible for a mix of direct and matrix reports. Approves subordinate's recommendations for staff recruitment, selection, promotion, advancement, corrective action and termination. Effectively recommends same for direct reports to next level management for review and approval. Monitors appropriate staffing levels and reports on utilization and deployment of human resources. Leads and supports staff in areas of staffing, selection, training, development, coaching, mentoring, measuring, appraising and rewarding performance and retention. Leads by example and models behaviors that are consistent with the company's values. QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and EXPERIENCE High school diploma or General education degree (GED) required. Associate's degree with concentration in Business or Finance preferred. Minimum of seven years experience in administrative or financial operations support; or equivalent combination of education and relevant experience. Minimum of 2 years prior management experience required. CERTIFICATES and/or LICENSES None. COMMUNICATION SKILLS Excellent written and verbal communication skills. Strong organizational and analytical skills. Ability to comprehend, analyze, and interpret the most complex business documents. Ability to respond effectively to the most sensitive issues. Ability to write reports, manuals, speeches and articles using distinctive style. Ability to make effective and persuasive presentations on complex topics to employees, clients, top management and/or public groups. Ability to motivate and negotiate effectively with key employees, top management, and client groups to take desired action. FINANCIAL KNOWLEDGE Requires in-depth knowledge of financial terms, principles and compliance. Ability to calculate complex figures. Ability to forecast and prepare budgets. Conducts financial/business analysis including the preparation of reports. REASONING ABILITY Ability to solve advanced problems and deal with a variety of options in complex situations. Requires expert level analytical and quantitative skills with proven experience in developing strategic solutions for a growing matrix-based multi-industry sales environment. Draws upon the analysis of others and makes recommendations that have a direct impact on the company. OTHER SKILLS and ABILITIES Advanced knowledge of computer software and hardware (i.e. Microsoft Office Suite Products). Must work well under pressure with proactive approach to routine and non-routine occurrences. Advanced organizational skills and attention to detail. Ability to work in multiple accounting software applications. SCOPE OF RESPONSIBILITY Decisions made with in-depth understanding and interpretation of procedures, company policies and business practices as well as industry intelligence to achieve complex results. Responsible for ensuring project and work unit deadlines are met. Errors in judgment may cause long-term impact to co-workers, supervisor, department, and/or line of business.
