JOB SUMMARY Provides general administrative support to an office or group of sales professionals within the retail specialty. Responsible for preparing proposal, presentation and communication materials. Coordinates the distribution of internal and external marketing information and interfaces with clients. ESSENTIAL DUTIES AND RESPONSIBILITIES Gathers supporting documentation to complete voucher forms and process Brokers' commission payments while abiding by company accounting policies as well as local and national laws. Manage the new listing process including creating and submitting a marketing budget, gathering necessary information and documentation, and ordering property photos. Order installment, repair, and removal of property listing signs as needed. Preparing listing documents, LOI's, leases, and general word processing. Managing listings on LoopNet, CoStar, AIR, and Listing Lab. Managing transaction forecast pipeline and submitting to management on time each month. Interacting with corporate to ensure you and your team are adhering to company guidelines and standards as well as industry law. Ensuring you are up-to-date on all required corporate training as assigned. Maintains CBRE brand, product, office and client messaging and consistency by applying templates to produce marketing materials including flyers, proposals, tour books, maps, floor plans and qualification packages. Reviews marketing material specifications and acts as point of contact and liaison with centralized marketing, analysis and research groups to coordinate the completion and submission of financial, marketing and various client specific property data to incorporate into customized property information packages. Perform research including market research, lease and sales comps, market trends, community information, retail void analysis, demographics, business contacts, land ownership and contact information, and general territory research. Organizes the preparation and production of customized, client specific property information packages in response to Requests for Information (RFIs) and Requests for Proposals (RFPs). Coordinates complex on/offsite meetings and conferences. Schedule appointments, book conference rooms, keep calendars and arrange travel itineraries and meeting room reservations. Client interfacing including opening space for tenants and conducting tours, distributing keys to new tenants, attending client events, and more (in accordance with California Real Estate Laws depending on whether or not applicant holds a valid CA BRE License). Updates and maintains various information databases. Generates standard and ad hoc reports as required and assist with website updates (as needed). Create/write press releases. May coordinate advertising schedules and placement with local centralized marketing group. Manage Campaign Logic e-blast marketing. Communicate with clients, prospects, and interested parties by answering phone calls, taking messages, providing information about properties, making cold calls, etc. Tracks, collates and maintains inventory of marketing materials. Administrative duties including managing contact lists, creating and submitting expense reports, picking up and sending mail, scanning, copying, printing, managing and organizing physical and electronic files, referring out major print jobs as necessary, proof-reading documents, light technical assistant to brokerage team. Other duties may be assigned. SUPERVISORY RESPONSIBILITIES No formal supervisory responsibilities in this position. EDUCATION and EXPERIENCE Associate's degree (A.A.) or equivalent from 2-year college required. 3 years experience providing administrative support to multiple or team of professionals; ability to determine and respond to conflicting priorities preferred. 2 years experience in the Real Estate industry. CERTIFICATES and/or LICENSES Real Estate Salesperson License Preferred COMMUNICATION SKILLS Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, coworkers and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees. FINANCIAL KNOWLEDGE Requires knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts and/or commissions. Conducts basic financial analysis. Ability to abstract a lease. REASONING ABILITY Ability to comprehend, analyze, and interpret documents. Ability to solve problems involving several options in situations. Requires intermediate analytical and quantitative skills. OTHER SKILLS and ABILITIES Advanced skills with Microsoft Office Suite, internet research and web publishing skills. Ability to manipulate templates in Power Point and InDesign preferred. Ability to use Illustrator and/or Photoshop preferred. Strong marketing knowledge needed. SCOPE OF RESPONSIBILITY Decisions made with thorough knowledge of procedures and company policies to achieve set results and deadlines. Responsible for setting own project deadlines. Errors in judgment may cause negative impact to internal and external clients.
