JOB SUMMARY Performs duties associated with the collections of outstanding tenant A/R including the tracking of outstanding A/R, communication with tenants and reporting to accounting and/or clients. ESSENTIAL DUTIES AND RESPONSIBILITIES Interacts with tenants to ensure timely and accurate payment of all amounts due pursuant to the terms of lease agreements. Maintains and updates the collection management system/tracker on a daily basis, including (a) disputes and resolutions thereof, (b) negotiated payment plans, (c) bad debt reserve recommendations, (d) promises to pay, and (e) any other account-related discussions. Investigates and resolves issues related to incorrect billings and any disputes raised by the tenant. Reconciles all outstanding accounts to ensure A/R balances represent an accurate position of tenant receivables. Properly escalates disputes pursuant to the company's policies and procedures. Seeks out and communicates opportunities to continuously improve, standardize and streamline the company's A/R administrative and collections processes. Communicates with accounting and property management on pending bankruptcies and other collections matters that should be escalated. Achieves assigned A/R targets and proactively communicate status with management, as appropriate. Prepares and distributes the appropriate weekly, monthly, quarterly and annual A/R reports for the assigned portfolio. Performs other duties as assigned. SUPERVISORY RESPONSIBILITIES No formal supervisory responsibilities in this position. May provide informal assistance such as technical guidance and/or training to coworkers. QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and EXPERIENCE High school diploma or General Education degree (GED) required. Minimum of two years experience in collections role, Business-to-Business collections experience preferred; or equivalent combination of education and relevant experience. Associates degree with concentration in Business or Accounting/Finance preferred. CERTIFICATES and/or LICENSES Real estate license may be required based on the collection responsibilities. COMMUNICATION SKILLS Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. FINANCIAL KNOWLEDGE Requires knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts, and/or commissions. Conducts basic financial analysis. REASONING ABILITY Ability to comprehend, analyze, and interpret documents. Ability to solve problems involving several options in situations. Requires intermediate analytical and quantitative skills. OTHER SKILLS and ABILITIES Intermediate knowledge of computer software and hardware (i.e. Microsoft Office Suite Products). Must work well under pressure with proactive approach to routine and non-routine occurrences. Advanced organizational skills, attention to detail. SCOPE OF RESPONSIBILITY Decisions made with understanding of procedures and company policies to achieve set results and deadlines. Resolves routine questions and problems, escalates issues to other resources with little guidance. Responsible for setting own project deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.
