Software asset management (SAM) provides a framework and set of processes that strategically track and manage the financial, physical, licensing and contractual aspects during the life cycle of software assets. The SAM discipline aims to create a dependable account of software asset costs and risks, providing support for software strategy, architecture, service management, funding and sourcing decisions. Software asset management (SAM) is the focal point for data analysis to support the effective management of organizational software assets, whether owned and managed by IT, third-party service providers or business units outside IT. This role reports directly to the IT Manager, Business Operations. During external audits and while planning major software life cycle and cost management activity, additional reporting and collaboration may include business unit managers, IT finance, Strategic Sourcing Organization, IT vendor management and procurement. Job responsibilities include: - Managing the software support and maintenance renewal process to ensure that payments are justified, are in line with contractual commitments, and are paid or canceled in time to avoid late payment fees or cancellation penalties
- Responsible for proactive understanding of and development of Business Stories/Decisions which have led to an increase/decrease in license consumption with a communication plan regarding the potential risk/impact.
- Identifying areas for cost savings through the identification of underutilized software, alternative support options, rationalization, license recycling and optimal licensing practices
- Providing licensing consultancy and advice to the project management office and enterprise architecture and support teams
- Monitoring changes to license terms and conditions (T&Cs), alerting stakeholders to licensing changes that are relevant to them and arranging licensing briefings as appropriate
- Manage Enterprise License true-up & reconciliation. Provide support during software publisher audits. Assist with dispute resolution. Recommend audit defense initiatives.
- Respond to requests from software owners, end users, managers, developers, and team members for specific IT Software Asset Management information.
- Work with the Procurement and Legal departments to interpret software agreements, determine use rights and provide key terms and conditions summaries. Ensure compliance by comparing current and future usage plans with those rights. Assist in resolving non-compliance issues. Ensure existing and planned future usage complies with the use rights.
- Stays informed of new and updated software license models and options for key vendor products
- Foster vendor relationships in the software space and support the Vendor Manager(s) in partner reviews
- Work with team leadership, business groups, and accounting staff to analyze and resolve complex issues associated with software licensing rights.
- Ensure process and procedural accuracy; and data quality
- Develop and maintain key reporting and delivery functions to key stakeholders

Preferred Qualifications: - Certified by a recognized national or international IT or IT asset management professional association, 5 years of experience in SAM
- Strong communication skills with a proven ability to understand key concepts and communicate and collaborate with technical staff, business stakeholders and senior management
- Highly organized with acute attention to detail
- Excellent stakeholder management, meeting facilitation skills and presentation skills
- Strong analytical, data-gathering and problem-solving skills with the ability to carry out data visualization and create high-quality documentation and specifications
- Ability to deal with difficult internal customers and external suppliers
- An understanding of IT business continuity, security, total quality management, and other risk assessment and optimization methodologies is also highly desirable.
- Knowledge of IT management and quality management is desirable.
- Proven ability to lead multiple teams, partner with management to resolve conflicts & obtain resources for projects.
- Understanding of the various software development lifecycles (e.g. Agile, Waterfall, etc.)
