We are searching for Administrative Assistant who is organized and detail oriented to join our team. Someone who is innovative and creative and can manage a variety of clerical and administrative tasks. Primary scope of work will be to assist our Operations Director who oversees 150+ associates in a 24 x 7 production environment. Collaboration, teamwork, and attention to detail are critical job attributes. Assignments are broad in nature and require a high level of multi-tasking. Ability to prioritize and work under the pressure of deadlines is important.
Shift/Schedule: Monday - Friday 7:30 am - 4:00 pm
Essential Job Responsibilities: * Assist with the onboarding of new employees, * Answers phone calls, schedules meetings and supports visitors * Carries out administrative duties such as filing, typing, copying, binding, scanning etc. * Completes operational requirements by scheduling and assigning administrative projects and expediting work results * Makes travel arrangements such as booking flights, cars, and hotel or restaurant reservations * Exhibits polite and professional communication via phone, e-mail, and mail. * Supports team by performing tasks related to organization and strong communication. * Provides information by answering questions and requests * Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies. * Contributes to team effort by accomplishing related results as needed. Physical Job Requirements: * Prolonged periods sitting at a desk and working on a computer. * Must be able to lift up-to 15 pounds at times. Preferred Skills and Experience: * Organization and attention to detail * Knowledge of appropriate software including Microsoft Word, Excel, and Outlook, Microsoft PowerPoint, and Adobe Acrobat * Ability to work independently * Professionalism * Problem Solving * Supply Management * Verbal Communication Education and Experience Requirements * High school diploma or equivalent education required * 3+ years of administrative assistant experience
